Addressing

Bulk Mail Preparation & Delivery to USPS
- Nonprofit Mail (200+ identical pieces)
A bulk mailing consists of 200 or more pieces of mail or 50 pounds of mail. All pieces must be identical in size and texture. The mail is prepared to bulk mail specifications, the Postal Service discounts your postage rate. - Standard Mail (200+ identical pieces)

Presort is the process by which a mailer prepares mail so that it is sorted to at least the finest extent required by the standards for the price claimed. Generally, presort is performed sequentially, from the lowest (finest) level to the highest level, to those destinations specified by standard and is completed at each level before the next level is prepared. The mail is prepared to bulk mail specifications, the Postal Service discounts your postage rate.
Collating
- Hand or machine process - This process goes hand-in-hand with inserting and the term simply means, to put together. Collation charges would be assessed to your job when you have more then one insert that has to be placed into the mailing envelope.
Data Processing
- Address correction
- File conversion – The process of changing records from a different file format to a format, identical to a specific program.
- C.A.S.S. certification
- Deduping – Process of taking a database file and eliminating duplicate records. Options include identical record deletion, name and address deletion, multiple addresses deletion, two records at the same address, but different names deletion.
- List management – Any manual, mechanical or electronic system for keeping name-and-address records up-to-date.
- Mail merge – The process of merging your mailing list with your mail piece. Instead of the generic Dear Friend letters with an address label, it is personalized on the letter.
Folding
- Process of folding materials by hand or machine. Price is determined by the number of angles.
Inserting
- Process of inserting materials into envelopes and sealing by hand or machine. Envelope maximum size up to 10”x13”.
Labeling & Live Stamp Application
- Process of applying labels or stamps by machine or hand at the department’s request. Departments must provide live stamps for use. Labels are peeled off and hand affixed.
NCOA Move Update
- National Change of Address (NCOA) is a mandated USPS move update process. NCOA is a registry of people who move or otherwise change their address in the United States. It is maintained by the United States Postal Service and access to it is sold to firms that engage in direct mail; use of NCOA is required in order to obtain bulk mail rates, as it minimizes the number of misaddresses and eases the job of the postal service.
Sealing
- Processing of sealing envelope by machine or hand in preparation to be mailed.
Tabbing & Wafer Seal (Required for ALL Self Mailers)
- Unenveloped letter-size mailpieces prepared for machinable or automation mailings must be sealed or glued completely along all four sides (or unsealed edges) or cured (tabbed) to prevent an open edge from jamming high-speed processing equipment. Standards for tabbing folded self-mailers, booklets, or postcards are based on basis weight of paper stock used and the location of the folded or bound edge. As an alternative to tabs or wafer seals, the open edge of the length of single-sheet self-mailers and postcards, and specific booklet designs, may be continuously glued or spot glued.

On Call Courier Services
